PDF Invoice 5.2.5 / HikaMarket 6.1.1 – “Invoice details” block not displayed was created by thomas.eilers@gfse.org

Hello,
we have just installed HikaMarket Multi-vendor 6.1.1 and updated the PDF Invoice plugin to 5.2.5.
In the PDF Invoice plugin we enabled:
The vendor form correctly shows the existing Invoice number format field. However, we cannot see the new “Invoice details” block mentioned in the PDF Invoice 5.2.0 changelog.
According to the changelog, this block should allow vendor-specific information such as the company identifier, electronic address, bank account, credit note number format and invoice footer.
Are we missing a configuration step, or should this new block already be available with HikaMarket 6.1.1 + PDF Invoice 5.2.5?
Do we need a newer HikaMarket version or a patch for HikaMarket 6.1.1?
Thank you!
Best regards
Thomas

Hi,
Can you check that the "Ask for invoice details during vendor registration" setting is set to Yes, not No ? Having it set to No, like you said in your message, would disable this display.

Hi,
thank you.
I changed “Ask for invoice details during vendor registration” to Yes, so all three HikaMarket-related settings in the PDF Invoice plugin are now set to Yes:
I saved the plugin configuration and reopened an existing vendor in HikaMarket → Vendors in the Joomla backend.
However, the vendor form still looks exactly the same. I can only see the existing “Invoice number format” field under Vendor Options. There is no new “Invoice details” block and no fields for company identifier, electronic address, bank account, credit note number format or invoice footer.
Is the new Invoice details block supposed to appear in the HikaMarket backend vendor form as well, or is it only available in the vendor registration/edit form on the frontend?
If it should also appear in the backend, is there another setting or plugin that needs to be enabled?
Best regards,
Thomas

Hi,
I thought you were talking about having the fields displayed on the vendor registration form in your initial message, hence my previous reply.
Regarding the backend vendor edit form, the plugin supports it too. However, it requires modifications in HikaMarket in order for the plugin to add the fields. The modifications have been added for the next version of HikaMarket. However, it is not yet released so it's normal you don't see the fields there.
I would recommend creating the vendors from the frontend vendor registration form for now until the next release of HikaMarket is made available.

Hi,
thank you, that explains it.
Since we only have two predefined vendors (GfSE e.V. and SE-TREC) and do not intend to offer public vendor registration, we would prefer to manage both vendors exclusively from the Joomla backend.
Do you already have an approximate release date for the next HikaMarket version containing these backend modifications?
If the release is expected soon, we would rather wait for the update instead of setting up frontend vendor registration just as a temporary workaround.
Best regards,
Thomas

Hello,
Since the patch is really small in the HIkaMarket backend, we can add it into an hotfix during this weekend.

Hi,
thank you again for offering to include the backend modifications in a HikaMarket hotfix over the weekend.
As it is now Tuesday, I wanted to kindly ask whether the hotfix has already been released or if there is an updated timeline.
So far, Joomla does not show a new HikaMarket update, and we are still using version 6.1.1.
Is the hotfix available for download, perhaps without a new version number, or should we wait for the next official release?
Thank you for your support!

Hi,
Yes, the hotfix is available: we published a new build of HikaMarket 6.1.1 on October 10 that includes the backend vendor form change. As it keeps the same version number, Joomla won't show it as an update.
To get it, download the HikaMarket Multi-vendor package again from your account on our website and install it over your current installation with the Joomla extension installer (no need to uninstall first, your data and settings are kept).

Thank you!
We have now successfully configured invoicing for both vendors. The generated PDF invoices and Factur-X files contain the correct vendor-specific invoice numbers.
However, we have noticed one remaining issue:
In the general HikaShop order overview, the system still displays an automatically generated invoice number for the main order. In the HikaMarket vendor order overview, the correct invoice number of the vendor sub-order is displayed instead.
For example, as shown in the attached screenshot:
Since we only allow one vendor per shopping cart, we do not need an additional invoice number for the main order.
We have three questions:
We would prefer to use the existing standard functionality rather than implement further customizations.
Thank you for your assistance!
Regards,
Thomas

Since we only allow one vendor per shopping cart, we do not need an additional invoice number for the main order.
We have three questions:
- Is it possible to prevent HikaShop from generating an additional invoice number for the main order?
- Can the general HikaShop order overview display the vendor sub-order's invoice number instead?
- When issuing credit notes or cancellation documents, how can we ensure that they refer exclusively to the correct vendor invoice number?
We would prefer to use the existing standard functionality rather than implement further customizations.
Thank you for your assistance!

Hi,
The number you see on the main order (C4C8) comes from HikaShop itself: it gives every main order an invoice number when it reaches one of the statuses of the "Invoice statuses" setting of the HikaShop configuration. HikaMarket numbers the vendor sub orders with that same setting, so there is no option to stop the main order's number without also stopping the vendors' invoice numbers.
With "One invoice per vendor sub order" turned on, the PDF Invoice plugin never uses that main order number: the PDF and Factur-X invoices, the invoices attached to the emails and the invoice button of the order page in the backend all use the vendor sub order's number (99000552 in your example). The main order's number is only an internal reference in the order lists. Please note that your customers also see it as "Invoice number" in the list of their orders in their account on the frontend.
1. Preventing the main order number: not possible with the standard settings, for the reason above. You can simply ignore it in your accounting: no document is ever issued with it.
2. Showing the vendor invoice number in the HikaShop order list: there is no setting for that. However, the HikaShop order list in the backend has a vendor filter among its filters (added by HikaMarket, "All vendors" by default): choose GfSE e.V. or SE-TREC there and the list shows that vendor's sub orders with their own invoice numbers, which is the list from the second part of your screenshot.
3. Credit notes: turn on "Credit note for refunded orders" in the PDF Invoice plugin, then set the main order to "Refunded". HikaMarket passes the status on to the vendor sub order, and the credit note is made on the sub order: it gets a number in that vendor's own credit note sequence (the "Credit note number format" of the vendor's Invoice details, or the plugin's setting when the vendor's is empty) and it states "Refund of invoice N° 99000552", the vendor invoice number, never the main order's. The "Credit note" button of the main order in the backend then gives you that vendor credit note, and it is attached to the refund email. A credit note is only made for a full refund (the "Refunded" status); a cancelled order does not get one.
While checking this, we noticed that the credit note PDF does not print its VAT line (the subtotal, shipping and total are right, but the VAT amount between them is missing). This is fixed in version 5.2.10 of the PDF Invoice plugin which we just released.
